Start with the work, then choose the AI.

A practical starting point for a business considering AI: identify one repeated task, define a useful outcome, and make human ownership clear.

Choose a bounded problem

Begin with a workflow that the team can describe today. It might be sorting incoming enquiries, finding information in a product catalogue, or preparing a response for someone to review. Write down what starts the task, what information it needs, and what a successful result looks like. A narrow first project makes mistakes easier to see and improvements easier to measure.

Know the starting point

Record how the work is handled before introducing a new system. How many requests arrive? How long do people wait? Where does the team repeat information or lose context? Keep the same definitions during the pilot. Counting generated responses is less useful than checking whether a customer actually received the right information or reached the right person.

Prepare the information

AI cannot repair an unclear business process on its own. Check whether product details, prices, opening hours, and escalation contacts are current. Assign an owner to update them. Give a pilot access only to the information it needs, and avoid copying sensitive customer data into an unapproved tool.

Keep a person accountable

Define which actions the system can take, which require confirmation, and which always go to a person. Make it easy for customers and staff to ask for help. Review incorrect answers and incomplete handoffs, not only successful demonstrations. A good pilot should make responsibility easier to understand.

Make a decision after the pilot

Compare quality, time, cost, and effort against the starting point. Include the work required to maintain content and review exceptions. Expand when the evidence supports it. Simplify or stop when the new process adds more friction than it removes. The useful question is whether the business works better.
